Quick Reference Information For The Academic Advisor
ACA 115- Encourage students to take ACA 115 in the first or second
semester.
ASSET Testing- On the Datatel system, Placement Test scores are found
through the TSUM mnemonic. The scores and dates are listed in the middle of
the screen. All scores may not appear on the screen. To see additional test
and scores, place your cursor in the first block and press your arrow down
key until you get to the last item or use the scroll bar on the right hand
side. If there is no scroll bar, there are no more test recorded. If no
scores are recorded, check with the Career Center.
Bookstore- Books may be purchased before classes start. Have students
check with Bookstore regarding refund policy.
Child Care- Students must check on this in the Financial Aid Office.
Closed Classes- Overrides for closed classes must be approved by
appropriate deans.
Course Conflicts- No course conflicts are allowed. In extenuating
circumstances, approval must be received by division dean, the Dean of
Students and the Vice President of Academic and Student Affairs.
Course Substitutions- Forms can be found in Divisions.
Crosswalk- If students have hours earned under the quarter system,
the Semester Conversion Handbook should be used. A copy of the handbook
should be available from the Dean/Director.
Developmental Courses- Placement into developmental courses is based
on ASSET or COMPASS Scores. Classes should be taken in the first and/or
second semester and must be taken in proper sequence.
Drops/Add-dates- The dates are found in the catalog. After schedule
adjustments for the current term, forms must be sent to the Records Office
to be processed.
Financial Aid- Students can pick up a packet from the Financial Aid
Office.
Major Change- Forms are found in the academic areas or Student
Affairs.
Name/Address Change- Forms are found in the academic areas or Student
Affairs. All requests for name changes must be accompanied by legal
documentation.
Out of State- Students must apply for in-state tuition with the
Admissions Officer.
Payment of Tuition- Payment is due at time of registration. ALL
students must be sent to the business office regardless of their financial
aid status. If the student can not pay at the time of early registration
they must wait until regular registration day to register for classes.
Refunds- Refunds are processed at the 10% point of the term. All
drops must be processed in the Records Office by 10% for the student to
receive a partial refund.
Registration Flags- Flags must be cleared in the appropriate area
before students can register.
Repeating Courses- Only courses with grades of ‘D’ or ‘F’ may be
repeated without permission unless the course is listed on the Time
Sensitive Course List. See catalog for Repeating Courses policy.
Scholarships- Students must check on this in the Financial Aid
Office.
Transfer Credits-These credits will be recorded on the student’s
Isothermal transcript.
Veterans Benefits- Students must see the VA Rep (Johnny Smith) after
registering and paying tuition.
